Microsoft Copilot (free version)

What is Microsoft Copilot?

Copilot Chat is Microsoft’s free and integrated Generative Artificial Intelligence Chatbot app, which offers features such as:

1. An integration to MS 365, involving enterprise data protection and direct access through Outlook or Teams

2. The use of recent LLMs (Large Languages Models) such as GPT 5.2 or 5.5

3. Collaboration pages, agent creation, file upload and file generation

Enterprise Data Protection

Prompts and responses are protected by the same terms and conditions that apply to the whole of Microsoft 365 suite:

1. Data is encrypted

2. Data is private and in line with General Data Protection Regulation (GDPR)

3. Protected against AI security and copyright risks

4. Data is not used to train foundation models
   

As a result, Copilot Chat is secure for an internal use, which is the reason why it is the only approved AI tool within Axios.

How to Access Copilot

Copilot Chat is available from different places:

• Web app: https://m365copilot.com/

Can be accessed via web browser. Make sure you are connected to your MS Account to benefit from the Enterprise Data Protection.

• Applications

1. Copilot Windows application: install the application on your computer for direct desktop access

2. Copilot in Outlook: accessible for both Outlook online or desktop applications. Make sure to use the new version of Outlook

3. Copilot in Teams: accessible from the left-side menu or the chat menu

Practical Use Cases

Copilot in Outlook

When using the new version of Outlook, Copilot is accessible directly in the top ribbon (top-right). It can perform various tasks, from which some of them are pre-defined (for these, the prompt is still editable).

• Email summarization
  Select an email and open Copilot. Then ask copilot to summarize, list the key points included in the email, list action items…

• Email drafting
  Can draft you an email from scratch according to the prompt entered, or when an email is selected, it drafts an email answer that can serve as a base to your reply.

• Email translation
  Copilot can directly translate the email or provide a summarized translated version.

• Writing improvement
  You can ask Copilot to improve your writing style, adjust the tone of the message (to be more professional for example), or just to correct spelling errors.

• Inbox triage
  You can ask Copilot to list emails that require immediate action or list all unread emails for example. It will include a quick link to the relevant emails in its output.

• Information searching
  Ask Copilot to retrieve a piece of information in old emails.

• Meeting preparation
  Ask Copilot to check emails on a defined topic and summarize the discussions, provide useful context and highlight open questions or pending tasks. That allow a quick and exhaustive meeting preparation.

  Prepare an agenda, discussion questions or discussion points…

• Brainstorming
  For team workshops, or collaborative problem-solving, Copilot can suggest ideas to focus on. Remember to provide the context! Generate ideas with Copilot, explore different perspectives, expand existing ideas…

• Meeting follow-up
  Turn your personal meeting notes into a meeting follow-up document, listing key decisions, action items, owners and deadlines… Can also create an action tracker.

• Research, training and learning
  Ask Copilot to explain complex concepts for personal learning and training. Copilot can access the web. You can use it for complex web research (remember to ask for sources when doing so, in order to be able to verify the content generated).

• Create content for presentation
  Illustrations, diagrams, slide deck, executive summary, Copilot can generate insights, data visualizations or presentation notes.
